Cortex vs. Dropbox + a skill

Could a shared folder be enough?

Yes. A Dropbox folder and a good AI skill can be a practical home for your knowledge. Cortex adds a shared workflow for recording, retrieving, and tracking that knowledge as more people and AI tools contribute.

Here we compare shared Markdown files plus your own AI instructions with Cortex. This is not a comparison of every Dropbox product or integration.

Side by side

What changes when knowledge is shared?

Shared Dropbox folder and an AI skill compared with Cortex
What mattersDropbox + a skillCortex
Getting started

Use a shared folder, readable files, and a skill that tells your AI how to maintain them. You arrange file access and instructions for each AI tool.

Connect a compatible AI tool to your Brain in Cortex and capture knowledge through conversation. Sign up on Free with a shared Brain.
A consistent way to write

A shared skill can define naming, structure, and writing rules. Each person and AI needs to follow the same instructions.

Updates pass through one service and a shared writing workflow. Knowledge is organized by subject, with related file changes saved together.
Two people updating at once

Simultaneous or offline file edits can produce conflicted copies. Your team compares and merges them.

Dropbox conflicted copies
Saves are coordinated and checked against the version being edited. A stale update can be rejected instead of silently replacing newer work.
A log of changes

Version history records file and folder changes and supports restoring earlier versions. How far back it goes depends on your plan.

Dropbox version history
Every accepted knowledge update becomes a Git commit, with a change summary and attribution to the person requesting or approving it. Download the files and their history through read-only Git access.
Who can change what

Shared folders have view and edit permissions. A skill adds working instructions; access still needs to be enforced by the storage and tools you use.

Dropbox sharing permissions
The service checks the connected user's current Organization role for reads and writes. Role-based access control is listed in the upcoming Pro plan.
Contradictory knowledge

Your team or AI can review files for conflicting facts. You define when those reviews happen and how to resolve what they find.

Shared storage and coordinated saves do not guarantee correct facts. Automatic conflict detection and regular consistency scans are planned for Intelligence, coming later.
Control and portability

Keep ordinary files and edit them with your preferred tools. Maintaining the knowledge workflow is your responsibility.

Keep readable Markdown and portable Git history. Updates go through Cortex; editing a downloaded copy does not update the shared Brain. Live retrieval and saving depend on the service.

Dropbox sources checked September 17, 2026. Features and history retention depend on the plan. Cortex Free is available now. Pro is available by invitation in private preview. Intelligence is coming later.

Consistency has two meanings

The latest version can still be wrong.

Imagine your pricing page says $49, but your sales notes still say $39. Synchronizing both files gives everyone the same two files. It does not settle which price is right.

Cortex coordinates saves and can record related changes together. That helps keep an update intact. Deciding what is true still needs context and review. Automatic checks for contradictory knowledge are planned for Intelligence.

Choose the work you want to own

Both approaches have a place.

A shared folder may be enough.

You already work in files, have a small number of contributors, and want direct control over your tools. You are comfortable maintaining a skill, arranging AI access, reviewing knowledge, and resolving conflicting edits. Reusing a setup you already have can mean less overhead.

The tradeoff: your team owns the coordination.

Cortex may fit better.

Multiple people and connected AI tools contribute to shared knowledge. You want updates to follow one workflow, an attributable history of accepted changes, and a portable record your organization owns.

The tradeoff: another service to connect and depend on, with usage limits and features still to come.
